Being a baseball team mom is an fulfilling and vital role that involves much more than just attending games. From organizing snacks to coordinating with coaches and other parents, your contributions help create a smooth and enjoyable season for everyone. Here’s an essential guide filled with tips, tricks, and advice to help you excel as a baseball team mom.
Stay Organized: Develop a master schedule.
- Keep a detailed calendar of practices, games, and events. Use a digital tool that can be easily updated and shared with parents. Include reminders for special events like picture day, and team parties.
- Favorite App: Game Changer App. The free version covers the basics but if you upgrade to the paid version it also allows you to live stream games.
Communication: Set up a communication system.
- Use group texts, emails, or a team app like Game Changer or TeamSnap to keep everyone informed about schedules, changes, and important announcements. TIP: Even with the use of an app, I still send weekly updates to parents with game date/time, location and snack assignments. Parents are busy, and often times don’t read emails, or go to an app to check details. I have found a weekly group text is still the best way to quickly send out updates.
- Create a contact list with parents’ names, phone numbers, and email addresses for easy reference. TIP: I download the roster from the baseball league, and then use Google sheets to organize a master roster that includes: players name, jersey number, parents contact details and line item to manage financial contributions for events etc.
Snack Schedule: Organize a snack rotation.
- Create a schedule for snack rotation, include guidelines for healthy options and any allergy considerations.
- TIP: I do not recommend a sign up sheet, rather assign dates and let parents know it is there responsibility to trade dates if they are unavailable. It is a time saver that you will thank me for later 🙂
Prepare for Weather.
- Communicate with coaches and parents about protocols for rainouts or weather conditions. Keep an eye on weather forecasts and notify parents of any changes promptly.
Make it fun and build team spirit.
- Plan team-building activities by organizing events like post-game ice cream outings, team dinners, or fun practices to strengthen team bonds.
- Purchase hand clappers or pom poms with the team colors for family and friends to cheer on their team.
- Have players pick out walk up songs – I recommend the Ball Park DJ app. You can have the coach record the players walk up voices. TIP: I recommend downloading this on an device that can be shared like an iPAD rather than your iPhone. If for some reason you are unable to attend the game, someone else can run the walk up songs for you.
- Bonus: Mother’s Day Weekend always falls in Spring season (the Month of May). I suggest getting some flowers and having players take pictures with their moms pre-game.
Manage team expenses.
- Maintain a budget for team expenses such as banner, uniforms (if necessary), end-of-season party and coaches gifts. Collect contributions from parents as needed. Use a spreadsheet or financial app to keep everything organized and transparent. I love Google sheets!
Capture the Memories: Document the season.
- Take photos and videos during games and events. Share them through a private online album or social media group for parents and players to enjoy. I like using Memento, it allows you to easily share and upload videos and photos for free. You set the folder to be password protected.
- Bonus: Create a year-end slideshow or photo book as a keepsake for the team.
Support the Coach: Maintain open communication with the coach.
- Regularly touch base with the coach to understand their needs and expectations. Offer help with organizing drills, managing player rotations, or other tasks.
- Tip: Every game the coach used this to manage player rotations: magnetic board. I used it to set up the Ballpark DJ player walk up songs. I also recommend managing the dugout (especially if your players are on the younger side) or ask an assistant coach to do this during games.
Prioritize Safety: Ensure a safe environment.
- Keep a first-aid kit on hand and know the location of the nearest medical facilities. We bring a wagon with all our baseball game gear, so to keep it easy on myself – I leave the first aid kit in the wagon the entire season.
